What we’re looking for:
We’re seeking a dependable, proactive, and organized Part-Time Office Manager to help keep our Manhattan office running smoothly. This on-site role is ideal for someone who enjoys creating a welcoming and well-organized office environment. The ideal candidate will be comfortable handling a variety of administrative and facilities-related tasks, from managing mail and supplies to coordinating with building management and vendors. You should be detail-oriented, communicative, and able to take initiative to ensure the office remains a clean, stocked, and functional space for our team and guests.
Responsibilities:
- Check and distribute incoming mail; scan and email documents to appropriate team members
- Make general office announcements and communicate updates to staff
- Serve as the main point of contact with building management
- Order and maintain inventory of office supplies, snacks, drinks, and other essentials
- Ensure the office is clean, organized, and stocked (including kitchen and bathroom areas)
- Manage office access, keycards, and guest entry protocols
- Place and coordinate weekly team lunch orders
- Liaise with external vendors such as the maintenance company, and cleaning service.
- Assist with light housekeeping tasks as needed (note: a cleaning company is also used)
- Greet and assist guests and clients visiting the office
- Set up and tidy meeting rooms before and after use
- Assist with coordination of in-office events or team gatherings
- Monitor and address facility-related issues as they arise
- Maintain a professional, welcoming, and efficient work environment
Skills and Qualifications:
- Previous experience in office management, or in a similar support role.
- Excellent organizational and time management skills
- Strong written and verbal communication abilities
- Comfortable using email, scanners, and basic office technology
- Proactive and able to work independently
- Friendly and professional demeanor with strong interpersonal skills
- Ability to prioritize tasks effectively
- Reliable and punctual
- Basic knowledge of Microsoft Office
