We are looking for an entrepreneurial individual to join our fast paced and dynamic Care Operations (CareOps) team. As the Business Operations Manager, you will be at the center of our ability to scale, working with our Coaching team to deliver efficient and high quality patient care. This role will require taking a data driven approach to inform major business decisions across the company - with a particular focus on process optimization.

The ideal candidate will have strong analytical, project management, and presentation skills, with an ability to communicate and influence others cross functionally. We are seeking a self-starter that can wear multiple hats while juggling a variety of projects. This role is for someone who loves telling stories with data, knows their way around a spreadsheet, and is passionate about improving systems.

Responsibilities

  • Continuously review and improve existing processes to drive efficiency, scalability, and operational excellence in coaching workflows, workforce planning, patient care, and supplies fulfillment.

  • Develop strategies to scale operations, anticipating growth needs and optimizing processes for larger patient volumes, including collaborating with the Product team on automation and workflow improvements.

  • Conduct advanced data analysis to define KPIs, evaluate trends, and drive insights that improve business results like coach performance, patient retention, gross margins, and supplies usage.

  • Lead cross-functional initiatives with Data Science, Product, Finance, and Operations teams to improve coaching services and capacity

  • Own workforce planning, working with recruiting and operations partners to ensure coaches are hired, trained, and assigned to patients effectively, based on demand forecasts, panel sizes, and coach expertise.

  • Lead operational experiments, define success metrics, and pilot innovative approaches to improve processes and scale successful operational initiatives.

  • Present data-driven insights and strategic recommendations to senior leadership and cross-functional stakeholders, supporting company-wide decisions.

  • Mentor and develop junior analysts, fostering a culture of learning, growth, and continuous improvement within the Care Operations team.

90 Day Plan

Within your first 90 days at Virta, we expect you will do the following:

  • Learn the coaching team's people, processes, and tools by shadowing coaches, studying workflows, and gaining insights into day-to-day operations.

  • Familiarize yourself with Virta's treatment program, outcomes, and the evolution of our care model to better understand how operations support patient success.

  • Dive into the available data and systems (e.g., Looker) to become the go-to expert for querying and analyzing data relevant to coaching operations.

  • Begin building strong relationships with cross-functional teams (e.g., Product, Data Science, Finance), identifying opportunities for collaboration that will drive operational improvements and scalability.

  • Collaborate with the Data Science team to understand ongoing projects, priorities, and how these efforts can support operational improvements.

  • Conduct deep dives into patient engagement and retention metrics, analyzing key drivers and contributing to operational experiments aimed at improving patient outcomes.

  • Take ownership of reviewing current processes for coach coverage, workforce planning, and patient assignment, identifying areas for improvement and making strategic recommendations for scalability.

  • Explore gross margin drivers and identify opportunities to improve operational efficiency while balancing quality of care and scaling needs.

Must-Haves

  • Bachelor’s Degree, preferably in Finance, Economics, Business, or a related analytical field. Advanced degree is a plus.

  • 5+ years of experience in business operations, analytics, or a similar role involving process improvement and data analysis. Experience in management consulting or related fields a plus.

  • Strong analytical skills with proven experience in working with large datasets to drive business insights and decision-making. Advanced proficiency in Excel/Google Sheets and familiarity with SQL and data visualization tools (e.g., Looker).

  • Demonstrated ability to improve and scale operational processes, with a track record of leading cross-functional initiatives or process improvement efforts.

  • Experience in developing and implementing strategies to drive operational efficiency and improve key metrics such as workforce planning, coach or employee performance, or gross margin.

  • Ability to thrive in a fast-paced, high-growth environment, balancing short-term problem-solving with long-term scalability and continuous improvement.

  • Exceptional communication and presentation skills, with the ability to translate complex data insights into actionable recommendations for leadership and cross-functional teams.

  • Strong project management skills with the ability to manage multiple initiatives simultaneously, from conception through execution.

  • Highly self-motivated with a strong sense of ownership, accountability, and the ability to operate independently and with cross-functional teams.

Virta has a location based compensation structure. Starting pay will be based on a number of factors and commensurate with qualifications & experience.
