About the Role
Seen Health has grown from 17 employees to over 90 in 18 months — and from zero to over 280 seniors in our care. The care is excellent. The company behind it still runs on founder memory, tribal knowledge, and meetings that don't always end in decisions. That won't survive the next doubling.
We're looking to bring on a Chief of Staff who would partner with our executive team to continue building the organization. You'll map how Seen Health actually works today, design the systems to run it at twice the scale, and turn it into a playbook the whole organization uses — not a document that sits in a drive.
The Chief of Staff will wear three hats: cartographer (map every process and owner), architect (design the operating systems for scale), and glue (connect every function, with influence but no direct authority). You'll work shoulder-to-shoulder with our CEO and every executive — this is a builder's seat at the table during the most consequential stretch of our growth.

Key Responsibilities
Process architecture
- Map every process end to end, across clinical operations, growth, transportation, finance, and administration.
- Classify each process as manual coordination, automated, or structural process — and identify precisely what breaks when we double.
- Prioritize and sequence the transitions that most need to happen before the next 100 people arrive.
Work and ownership
- Map all scope currently in flight and who is working on what.
- Build and maintain a live areas-of-responsibility map, including the update mechanism that keeps it current as people join and roles shift — so it doesn't decay into a snapshot.
- Make it the default answer to "who owns this?", so institutional knowledge stops living in individual memory.
Operating cadence
- Own the weekly, monthly, and quarterly rhythm of the company.
- Standardize the preparation, format, and output of every forum — ops huddles, stand-ups, leads meetings, operating reviews, financial and budget reviews, and board meetings.
- Own the planning and preparation for those forums directly, so leaders arrive ready and decisions get made in the room.
- Design and roll out the next iteration of the operating cadence as the company scales.
Information flow and knowledge distribution
- Define how information moves up, down, and sideways — and build the mechanics that propagate it rather than trapping it.
- Aggregate every playbook scattered across the company into a single, navigable company wiki.
- Drive Notion adoption as the system of record, partnering with Seen Tech so the wiki and dashboards stay live rather than being rebuilt by hand.
Decisions
- Define how decisions get made, recorded, tracked, and communicated.
- Maintain a decision register so decisions are propagated rather than recalled — and don't get quietly relitigated.
Reporting, planning, and resource allocation
- Standardize reporting into one continuous roll-up that carries information from ops huddles through operating reviews to the board.
- Deliver and maintain a sanitized company dashboard — one trusted view, not a monthly rebuild.
- Bring structure to book close and financial processes, reconciliation against goals and targets, and how resources get allocated across the business.
The Playbook
- Document all of the above into the written operating manual for running Seen Health at 200 people, and drive its adoption across every function.
Qualifications
Required
- 3–6+ years in strategy, operations, consulting, chief-of-staff, or business-operations roles.
- Strong follow-through and detail orientation.
- A systems builder who fixes root causes rather than applying band-aids, and who gathers requirements across teams before designing a solution.
- Strong process instincts — able to look at how work actually happens and see what is coordination overhead versus genuine structure.
- Fluent with data — able to define metrics, reconcile conflicting definitions, and build reporting that leaders actually trust.
- Exceptional written communication. A lot of this role is documentation that other people have to follow.
- Ability to prioritize and say no, and to push the thinking of the CEO and leadership rather than only take direction.
- High EQ and credibility across the full organization — influence without authority is the operating mode.
- Self-directed and comfortable with ambiguity — takes cross-functional problems that have no owner and runs with them.
Preferred
- Experience scaling an organization through a similar inflection — roughly 100 to 200+ people — in a startup or high-growth healthcare provider setting.
- Experience building operating systems from scratch — planning cadence, reporting architecture, responsibility mapping, decision frameworks.
- Hands-on fluency with Notion (or a comparable knowledge system) and a track record of driving real adoption, not just building pages.
- Comfort with AI-enabled workflows and a bias toward automating reporting rather than staffing it.
- Business-fluency in Mandarin and/or Cantonese, sufficient for partnership and vendor conversations.
- Familiarity with value-based care, PACE, or capitated models.

- Los Angeles required. Ability to commute to Alhambra required.

Salary & Benefits
- Salary: $120,000 – $160,000 per year, depending on experience
