The Role:

Hazel Health is seeking a meticulous and highly organized Onboarding & Credentialing Specialist to join Hazel’s Medical Affairs team. This dual-role position is critical to our operations, ensuring that all new providers are seamlessly integrated while verifying that they meet all necessary professional and regulatory requirements. The ideal candidate will serve as a primary point of contact for new providers from offer acceptance through their initial period (~30 days) of employment, and re-credentialing, therefore managing all aspects of the credentialing, licensing, and compliance verification process.

This role requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities in a fast-paced environment.

What You’ll Do:

Onboarding (approx. 40%):

  • Manage the post-offer acceptance process for all new hire providers, serving as their main point of contact to ensure a positive and welcoming experience.
  • Initiate and monitor pre-employment screenings, including, but limited to: background checks, drug tests, fingerprinting, and reference checks.
  • Prepare and distribute new hire orientation packets and ensure timely completion of all required paperwork (e.g., provider applications, CAHQ, …..).
  • Coordinate cross-functionally with department teams to ensure communication of provider onboarding status

Credentialing (approx. 60%):

  • Execute the end-to-end credentialing and re-credentialing process for all required personnel (e.g., mental health and acute care clinicians, and licensed professionals).
  • Collect, verify, and evaluate all necessary documentation, including licenses, certifications, educational degrees, board certifications, and work history.
  • Perform primary source verification of all credentials in accordance with Hazel’s company policy and industry regulations (e.g., Joint Commission, NCQA, FINRA, state licensing boards).
  • Maintain and update a centralized credentialing database or software, ensuring all records are accurate, complete, and confidential.
  • Track expiration dates for all licenses and certifications to ensure timely renewal and prevent any lapse in compliance.
  • Prepare and submit applications for provider enrollment with insurance panels, government payers (Medicare/Medicaid), or other relevant bodies.
  • Stay current with industry-specific credentialing standards, state and federal regulations, and payer requirements.
  • Generate reports at a recurring cadence (based on business need) on credentialing status, compliance, and upcoming renewals for management.

Minimum Requirements:

  • Associate's or Bachelor's degree in Human Resources, Business Administration, Healthcare Administration, or a related field (or equivalent work experience).
  • 2+ years of experience in a credentialing, HR onboarding, or a similar administrative role within a regulated industry.
  • Impeccable attention to detail and a commitment to accuracy.
  • Excellent organizational and time-management skills with a proven ability to handle multiple files and deadlines simultaneously.
  • Strong interpersonal and communication skills (both written and verbal), with the ability to interact professionally with new hires, management, and external agencies.
  • High level of proficiency with Microsoft Office Suite (Word, Excel, Outlook) and experience with HRIS or credentialing software.
  • Demonstrated ability to handle confidential information with discretion and integrity.

Preferred Skills:

  • Direct experience in the Healthcare Industry
  • Certification as a Certified Provider Credentialing Specialist (CPCS) or Certified Professional Medical Services Management (CPMSM) is highly desirable.
  • Knowledge of NCQA, The Joint Commission, and other healthcare regulatory standards.
  • Experience using specific credentialing software such as Salesforce, Modio, Athena, MD-Staff, or similar platforms.
  • Experience with HR Information Systems (HRIS) such as Rippling, Workday, ADP, or BambooHR.
