The Role:

We’re looking for a highly organized, self-motivated, and proactive Remote Practice Manager to lead the day-to-day operations and strategic initiatives of our growing school-based physical health program. The ideal candidate is a quick learner, a detail-oriented problem-solver, highly driven and proactive, and has experience supporting providers such as physicians and advanced practice providers.

This role is central to ensuring our clinical operations run smoothly—managing provider schedules, optimizing staffing, collaborating cross-functionally, supporting front-line staff, and driving continuous improvement to enhance quality and efficiency. What You’ll Do:

  • Schedule Management: Build, maintain, and optimize provider schedules across multiple states; ensure adequate coverage based on patient volume and state and supervision needs.
  • Staffing Oversight: Analyze utilization and make staffing recommendations in partnership with leadership and analytics teams. Reduce staffing inefficiency so that providers can reach 2.7-3 VPH while keeping average wait times below 15 minutes.
  • Cross-Department Collaboration: Serve as the key liaison between the Physical Health team and internal teams including Finance, Post-Sales, Bizz Ops, Business Analytics, and Medical Affairs. Work cross-functionally to ensure tight alignment and execution of strategic projects and assignments, collaborating to improve clinical outcomes and business sustainability.
  • Team Management: Oversee and support the Clinical Support Staff (CSS) team; ensure workflows are followed and escalations are managed effectively. Contribute to fostering a positive team culture and support the professional development of team members.
  • Operational Coordination: Identify and resolve day-to-day operational issues related to clinical delivery. Propose and implement process improvements and work with Compliance to track AOR %age, maintaining a goal of <x%
  • Data-Driven Decision Making: Use reports and dashboards to define, track, and monitor key operational metrics (including wait times, cancellation rates, visit metrics, provider visit management, clinical visit engagement). Surface insights to leadership for better decision-making and work with Business Analytics to optimize data and address any discrepancies. Develop and regularly report on clinical operations OKRs and KPIs.
  • Provider Support: Serve as a go-to resource for MDs and APPs to resolve scheduling, logistical, and administrative issues quickly and professionally.
  • Independent Execution: Drive initiatives forward independently while maintaining alignment with broader organizational goals. Synthesize operational challenges into structured, actionable projects and plans.

Minimum Requirements:

  • 3+ years of relevant experience in clinical operations, provider relations, or practice management (telehealth or pediatric experience preferred).
  • Experience managing provider schedules and working cross-functionally.
  • Prior experience leading or overseeing support staff (front desk, care coordination, or clinical support teams).
  • Bachelor’s degree in healthcare administration, public health, nursing, or related field preferred (or equivalent experience).

Total compensation for this role is market competitive, with a base salary range of $80,000 - $95,000, a 401k match, CEU Allowance, healthcare coverage, paid time off, cross-licensure sponsorship (if eligible), and a broad range of other benefits and perks.
