| Executive Assistant b.well is looking for an organized, energetic and dependable Executive Assistant to support the CEO and multi-functional departments. This role will manage the day-to-day operations of the CEO while partnering with department leads to facilitate related initiatives. The ideal candidate is a high performer, can anticipate needs independently, and is a problem solver with strong project management skills. What you’ll do: - Manage complex, dynamic calendars across multiple time zones with strategic insight — understanding what meetings matter, who needs face time, and when to protect focus time.
- Independently manage competing priorities, resolve scheduling conflicts diplomatically, navigate sensitive situations with discretion, and make real-time decisions on urgency vs. importance while knowing when to push back or escalate appropriately.
- Arrange comprehensive travel plans with detailed itineraries for events and meetings while handling all logistics with absolute discretion and protecting sensitive information.
- Create professional, visually compelling presentations and materials for executive meetings, board presentations, conferences, and internal/external events using Google Workspace and other design tools.
- Set up, run, and troubleshoot virtual platforms including Zoom, webinars, and podcast recordings to ensure seamless execution of all digital events.
- Serve as strategic partner to CEO and executive team, anticipating needs, identifying gaps, and managing projects as a trusted representative of leadership.
- Proactively identify and implement opportunities to streamline operations, eliminating administrative friction so the Executive Team can focus on strategic priorities and business growth.
- Partner with department leads to track CEO-driven deadlines and deliverables, providing support with copywriting, presentations, social media content, and other critical materials.
- Plan and execute board meeting logistics, leadership offsites, company events, and client engagements from logistics through follow-up.
- Prepare briefing materials, agendas, and meeting recaps that keep leadership informed and aligned.
- Serves as a resource for administrative functions both in office and remotely, and must be available to support the Baltimore office with in-person meetings, supplies, and events including catering.
- Supporting vendors that service the office, assist with mail and packages.
Required Experience: - 5-7 years of relevant experience in an executive administrative role
- Excellent organization and time management skills. The ability to meet deadlines and multi-task efficiently is a must.
- Action oriented and creative problem-solver.
- Creative, resourceful and efficient.

- Acumen to handle difficult situations and multiple responsibilities simultaneously, mixing long-term needs with the urgency of immediate demands of groups.
- Clear and effective communicator with excellent written and presentation skills

- Ability to build strong working relationships with individuals at different levels inside and outside the organization
- Comfortable working independently as well as through others
- Demonstrated good judgment is key, including the ability to build trust, with high integrity and discretion with confidential information.
- High proficiency in Google Suite (especially Google Calendar, Slides, and Docs)
- We are a Mac shop - the skills to leverage their “designer” friendly applications is a plus!
- An enthusiasm for a fast paced work environment is a MAJOR plus!!
The target salary range for this position is $90,000 - $115,000 and is part of a competitive total rewards package including stock options, benefits, and incentive pay for eligible roles. Individual pay may vary from the target range and is determined by a number of factors including experience, location, internal pay equity, and other relevant business considerations.
